Driver interface
PVBS is your drivers’ interface where they can manage their vehicle requirements and log all vehicle usage. Your drivers book vehicle trips via any internet enabled device e.g. PC, tablet or mobile phone. This involves selecting the journey start/end time, the reason for the trip and any applicable journey notes if required (such as notes for FBT exempt days).
Management interface
Fleetwise can assign managers a higher PVBS access level, which provides additional functionality based on their requirements. For example, managers have greater visibility and analytics on vehicle use. From a health and safety perspective, PVBS provides visibility on mobile staff whereabouts and expected return times.
Automatic allocation of vehicles
The system has been designed to rationalise the utilisation of the pool by allocating vehicles to drivers for each booking at random, thus spreading vehicle usage across the pool (Note, users may make special requests as to what feature they require of their vehicle e.g. around town driving, open road driving etc.). Priority code settings are also able to be attached to vehicles in order to even out utilisation where applicable.
Drivers receive a booking confirmation form once their booking is made which informs them of the vehicle they have been allocated. They can print this out from the web screen if they wish; it will also display in their individual home screen. Confirmation of the booking is also sent to the user by e-mail.
Multi-location management
PVBS allows a number of pools to be managed over a number of locations and a large geographical area. The system can easily manage and report on this.
PVBS has a security level called “Group Manager” which has been designed for multi-location organisations. This access level allows the user to manage only the bookings specific to their area(s).
Driver assignment
Vehicles can be marked as “pool” or “dedicated” within the system. Dedicated vehicles can have either a single person or several drivers assigned to them; only those drivers are then able to have that car allocated to them when making a booking. This means that vehicles may be made available to a specific group of drivers, rather than just a single driver.
PVBS allows you the flexibility to turn on/off auto cancellation for different vehicle groups. There are also configurable emails that can be sent to drivers advising them that their booking is going to be cancelled.
FBT compliance
The FBT management module prompts drivers automatically if the trip is likely to incur FBT. Drivers can edit the entry should they deem there is no liability and add a note with the reason for the exception. All FBT events can be downloaded and reviewed on-demand via the FBT Report.
To assist with vehicle FBT management, an approval process can be set up for all overnight bookings.
Email confirmation
All bookings are confirmed with an e-mail to the booker and the driver. The email contains the detail of the booking as well as a Microsoft Outlook i-Cal button so that users can choose to add bookings to their Outlook Calendar with a single click.
WOF/service flags
WOF and Service reminder flags are available in the booking manager screen to alert managers to compliance dates.
On-demand reporting
PVBS provides a useful reporting suite including a Booking Report, Billing Report and WOF and Service report.
The most notable reports regarding fleet optimisation are the Utilisation and Concurrent Use Report, which clearly identify the level of utilisation of the individual pool or the entire fleet.
Reports can be exported in several formats including PDF, Excel and CSV.
