New User Registration Function

This function allows a new user to submit a registration application via the new user registration page which will be reviewed and actioned by the approvers.

The function can be turned on by going to Administration - Configuration - User, then tick the Allow self-registration option under User Registration section. Once enabled, a Register New User link will be available on the login page.

Configure New User Registration Function

 

1. Setup Approvers

Default Approvers (Administration - Configuration - User - User Registration) have to be set up to enable the new user registration function. The Default Approver can be any users with Administrator access or the ones who have Allow Approve/Reject User Registration Requests special permission. Default approvers will receive new user approval requests if there is no Department or Vehicle Group level approvers for selected Department and Groups in the user application. 

Although only Approvers will receive approval requests, all Administrators can review and approve/decline registration application.

Group approvers (Administration - Master Data - Group and Group Destination - Edit ) can be set up to approve user registrations for their assigned Group, they can be any users with Administrator access or the ones who have Allow Approve/Reject User Registration Requests special permission. 

Department approvers (Administration - Master Data - Department - Edit) can be set up to approve user registrations for their assigned Department, they can be any users with Administrator access or the ones who have Allow Approve/Reject User Registration Requests special permission. 

The registration approval request will be sent to the Department Approver, if there is no approver for the selected department, the request will be sent to the Group Approver, and if there is no approver for the selected group, the request will be sent to the Default Approver of the site.


2. Setup Custom Messages

Custom messages can be setup to be displayed on the New User Registration page as well as email notifications.

All custom messages support URL, photos, and formatting.

Registration overview message

This message will displayed on the top of the New User Registration page, this can be used to display information to users before they start the application process, such as vehicle policy, driver training information, and disclaimer.

Registration confirmation message

This message will be included in the confirmation email sent to the newly registered user.

Approval request message

This message will be included in the approval requests sent to the approvers, this can be used to remind approvers to review the application following proper processes.

Support Documents overview message

This message will be displayed on the top of the file upload window, this can be used to inform applicants what documents are required to support the application.


3. Setup reminders and alerts

Unactioned approvals reminder (days)

The interval for reminders sent to the approver if the applications is not actioned. 

Automatically reject unactioned approvals (days)

The time limit for an application to expire and be automatically rejected of it is not actioned in time. The user will have to submit the application again if the application expires.

Alert Approvers before an application is automatically rejected

When enabled, the system will alert all eligible approvers 1 day before the application expires.
