The Group and Group Destination page allows you to define Vehicle Groups which can be selected by users when requesting a booking.
Users are only allowed to book vehicles from allocated groups. These groups are usually the same as locations, but it is possible that you may have several groups from one location or vice vesa.
Create a new group
Click on 'Add new record', enter the group name, and then a brief description of the location, then click on Update.
You can edit the group to turn on or off various functions or this group, such as booking autocancellation and geofence function.
Assign a destination to a vehicle group
This is where you also set your destinations by group. By adding a list of destinations under a group, these become the destination that a user can select when making a booking in that corresponding group. To add a destination, click on the arrow next to the group and use the new, edit and delete links to add your destinations accordingly. The destination you will be able to choose from in this section will be the destinations set in the Destination master list.
Click on the triangle button at the left-hand side of the vehicle group, then click on Add new record in the destination field, select the destination from the drop-down box, and enter the estimated distance between the location of the vehicle and that destination, then click Update.
You will see the group on Booking Manager after you assign vehicles to this group.
Assign a contact person to a vehicle group
You can setup group contacts for a vehicle group to allow they to recieve booking notification and alerts, and approval request of booking approval function is enabled.
For a user to be added as the contact for a vehicle group, that user has to have GroupManager access to that group. Once the user's access level is changed, their access to the vehicle group has changed, or their access to the system has been disabled, they will be removed from the vehicle group contact list.
Click on the triangle button onthe left-hand side to call out the vehicle group contact and destination panel.
Hit the Add New Record button next to the Contacts label, select the user from the dropdown box. in the Notification Type field, select the notifications you would like the group contact to receive.
You can appoint more than one user to be the contacts for a vehicle group, and a user can be appointed as the contact for multiple groups.

All Bookings - Booking confirmation/amendment/cancellation notification for all bookings
Maintenance Bookings - Booking confirmation/amendment/cancellation notification for bookings with destination been flagged as ‘Maintenance’
Long Term Bookings - Booking confirmation/amendment/cancellation notification for bookings longer than the ‘Long Term Booking Days’ setting
Overnight Bookings - Booking confirmation/amendment/cancellation notification for bookings outside business hours
FBT Bookings - Booking confirmation/amendment/cancellation notification for FBT events
Late Pickup Notification - Alerts for bookings not being picked up a set time after booking start time
Late Dropoff Notification - Alerts for bookings not being picked up a set time after booking start time
Auto Cancellation - Alerts for booking auto cancellation
