About PVBS

An introduction to Fleetwise PVBS

A powerful solution for any client running a pool vehicle fleet, Fleetwise’s Pool Vehicle Booking System (PVBS) is an easy-to-use, online booking system that automates the entire reservation process, keeping track of drivers, vehicles and cost centres.

A web-based service, PVBS allows users to reserve a vehicle through any internet-enabled device. Users can search for available vehicles based on vehicle type, location and time. The system recognises users and assigns vehicles according to their profile. Making a booking is a simple click and confirm process, avoiding the problems of messy and potentially inaccurate paper-based systems.

All booked vehicles can be reviewed and managed at a glance from a central point, by any designated staff member. There is also the option to provide GPS integration with the vehicle booking system, automating the flow of information and automatically logging vehicle pick-ups and drop-offs.

As well as being simple to use, PVBS provides information on vehicle utilisation, business centre apportionment and driver usage patterns. In doing so, PVBS greatly assists in pool fleet size optimisation and cost allocation.

The benefits to drivers

  • Eliminates vehicle logbook reporting requirements – all trip details including start/end times, odometer and Fringe Benefit Tax (FBT) liabilities are captured electronically
  • Enables drivers to record any FBT exempt nights in real time, eliminating the need to recall FBT days
  • Vehicle servicing events can be conveniently scheduled and clearly communicated
  • Provides visibility of other team members availability, schedules and activities

The benefits to management

  •  Provides visibility on staff schedules for the day with the ability to, track employee vehicle usage and destinations
  • Helps in understanding the detail on how vehicles are being used, which may lead to the opportunity to increase the proportion of shared/pooled vehicles and could identify an opportunity to reduce fleet size and associated fleet costs or consider other fit-for-purpose vehicles
  • Enables the finance team to run FBT reports as required and potentially reduce FBT liability with more accurate capture of exempt vehicle use
